Perhaps it's in a restaurant during the summer or alternately it may be in a marquee in a field during winter, in which case aspects such as marquee heating and toilets will need to be discussed.

The events management process is a lot easier if the management company has at least an estimate of the number of guests who will be present. This number is useful when it comes to arranging seating plans, notifying caterers of how much food they have to prepare and choosing venue sites that will comfortably hold the number of guests attending. Make sure the organiser also knows if the majority of guests will be younger, older or a combination of the two. This will aid them in creating a suitable tone for an event. For example, a children's birthday party will have a very different feel to a retirement party.

Decide if you want the events company to organise car parking services for your guests, such as an attendant to supervise orderly parking. You'll need to notify the event management company if you want security before and during an event, for example to protect a marquee and the contents within it and/or to serve as bouncers in case gatecrashers appear at your event.

Within the event planning process a contingency plan should be formed to ensure all your bases are covered. For instance, the event planner should have an indoor contingency plan if it ends up raining and you had planned to have a wedding reception outside.

Other issues you will have to talk to the event company about include things like your budget, event decorations and event entertainment. An event planner should be eager to discuss your ideas and will be able to give feedback on what will and won't work based on their experience in the event planning industry.
